Photographer tax return: kit, deposits and your SA103S

Photographers are taxed on profit: fees received less what the business cost. Under cash basis a deposit counts in the year it arrives, cameras and lenses are a normal expense, and everyday black clothing is never allowable. ac-co drafts your SA103S from your bank feed.

Most photographers use the short self-employment page. These are the boxes where a photography business differs from the generic sole trader.

Turnover

Shoot fees, print and album sales and licensing money received in the year. Under cash basis, a deposit is income in the year it lands, not the year of the wedding.

WHAT A PHOTOGRAPHER CAN CLAIM

Kit, studio and shoots — and what is not allowable.

Cash basis is the standard method for sole traders since 6 April 2024, so most costs are simply claimed in the year you pay them. Only the business share of anything you also use privately counts.

Usually allowable

  • Cameras, lenses, lighting and computers. Under cash basis, equipment you keep for the business is an ordinary expense in the year you buy it. Under traditional accounting you claim capital allowances instead, where the annual investment allowance covers up to £1 million. Cut the claim for private use.
  • Editing and cloud software. Software you pay regular renewals for is an expense even if you use it for years.
  • Prints, albums and frames you sell. Stock and raw materials. A product you sell and give away to promote the business, such as a free print, is also claimable.
  • Second shooters and assistants. Salaries and subcontractor costs are staff costs.
  • Studio or location hire, and shoot travel. Rent for business premises, plus parking, train fares and hotels and meals on overnight jobs.
  • Insurance and training. Public liability, equipment and professional indemnity cover, and training that keeps your skills or technology up to date.

Usually not allowable

  • Everyday clothing. Suits, shirts and ordinary shoes are not allowable, even if you only ever wear them to shoots. Protective kit and costumes for the work can be.
  • Travel from home to a fixed base. Travel between home and work does not count; travel to a client's venue for a shoot does.
  • Fines and penalty charges. A parking ticket at a venue is a personal cost, not a business one.
  • Entertaining clients. Lunch with a couple while planning their wedding, or tickets, are not claimable.
  • The cost of doing your tax return. gov.uk says the cost of preparing and submitting your own Self Assessment return is not an allowable expense.

THREE THINGS PEOPLE GET WRONG

Photographer tax returns — the small print that costs money.

Deposit

A deposit counts when it arrives, not on the day of the shoot

Under cash basis you record income when you receive it, so an October deposit for a June wedding is income in the tax year it landed. Payments in kind, such as prints swapped for a venue's services, count too. Tick box 8 only if you choose traditional accounting.

Black

Everyday black clothing is not a costume

gov.uk allows protective clothing, clothing that protects your everyday clothes while you work (if only used for work), specialist uniforms and costumes for the work. It excludes everyday clothing such as suits, shirts, dresses and ordinary shoes, whatever the job.

ANSWERS

Ready when you are.

Can I claim my camera and lenses as an expense?

Yes. Under cash basis, the standard method for sole traders, equipment you keep for the business is an ordinary expense in the year you pay. Under traditional accounting you claim capital allowances instead. If you also use the kit privately, only the business share counts; gov.uk's example cuts a half-private laptop's claim by 50%.

When is a wedding deposit taxed?

Under cash basis it is income in the tax year you receive it, even though the wedding is later. Under traditional accounting income follows the invoice. You can opt out of cash basis in box 8 of the SA103S. Payments in kind, such as a venue swapping a service for your photos, also count as income.

Can I claim the clothes I wear to shoots?

Only if they are protective, specialist or a costume. gov.uk allows clothing that protects your everyday clothes, such as an apron, if you only use it for work, and specialist uniforms. It does not allow everyday clothing such as suits, shirts, dresses or ordinary shoes, even if you wear them just for work.

I only shoot occasionally — do I need to register?

If your gross trading income from all sources is £1,000 or less in the tax year you may not need to tell HMRC. Over £1,000 you must register for Self Assessment by 5 October after the tax year. The £1,000 covers all your trading combined, so add any other side income, such as selling prints, before you decide.

How much does a photographer's return cost?

Our fee is per return, with no subscription. The Simple tier (£29) is for a return with an employment page plus at most one other supplementary page; any other return is Complete (£65). The tier is set by the pages on your filed return.
